Calendar: troubleshooting
Fixes for the problems people meet most often. For how things work, see Calendar; for step-by-step instructions, see the how-to.
Missing entries
Section titled “Missing entries”I added a calendar item but it isn’t on the Calendar
Section titled “I added a calendar item but it isn’t on the Calendar”Why it happens: the person filter opens on Mine & Unassigned. An item assigned to a colleague is hidden until you include them. A property or type filter can also hide it.
How to fix it: set the person filter to All, clear All properties, All types and All Action Categories, and go to the item’s date. Calendar items don’t appear in the Actions panel, so look on the Calendar.
Move-ins, move-outs or fixed-term endings are missing
Section titled “Move-ins, move-outs or fixed-term endings are missing”Why it happens: these entries aren’t assigned to anyone, so they only show when Unassigned or All is in the person filter. A fixed-term ending is also hidden once a move-out date is set, and cancelled or deleted tenancies don’t show.
How to fix it: choose Mine & Unassigned, Unassigned or All. Check the tenancy has a move-in date, and a move-out or fixed-term end date if that’s what you’re looking for. You also need “View tenancies” permission.
Rent due dates aren’t on the Calendar
Section titled “Rent due dates aren’t on the Calendar”Why it happens: the Calendar doesn’t show the rent schedule. It shows Rent Payment Due Actions, which COHO raises only if the property’s Rent Collection setting Remind me to check tenant rent payments by creating an action when their rent becomes due is on. COHO raises each one on the day rent is due, not in advance, and closes it once the rent is paid.
How to fix it: turn the setting on in each property’s Rent Collection settings. To see rent coming up, use the Rent Collection panel. See Rent schedules and rent collection.
An Action isn’t on the Calendar
Section titled “An Action isn’t on the Calendar”Why it happens: only open Actions with a due date appear. Completed Actions, Actions without a due date, and Actions on disabled properties don’t. A snoozed Action shows on its snooze date, not its due date. Choosing a property filters out Actions that aren’t linked to a property.
How to fix it: open the Action and give it a Due date. Check the snooze date. Clear the filters and set the person filter to All.
A viewing isn’t on the Calendar
Section titled “A viewing isn’t on the Calendar”Why it happens: only viewings with a date, proposed or agreed, appear. Cancelled viewings and viewings waiting for a date don’t.
How to fix it: open the viewing and check it has a date. See Viewings, Availabilities & Leads.
A maintenance issue isn’t on the Calendar
Section titled “A maintenance issue isn’t on the Calendar”Why it happens: maintenance shows only when a visit is scheduled, or once the issue is marked as completed. Open issues with no visit scheduled, and closed issues, don’t appear.
How to fix it: schedule the visit on the maintenance issue. See Maintenance.
Nothing shows more than a few months ahead
Section titled “Nothing shows more than a few months ahead”Why it happens: the Calendar loads entries up to about 4 months from today, or about 12 months for Actions.
How to fix it: for later dates, check the record itself, such as the tenancy or viewing.
A whole type of entry is missing, or not in the filter
Section titled “A whole type of entry is missing, or not in the filter”Why it happens: you only see types you have permission to view.
How to fix it: ask an admin for “View actions”, “View viewings”, “View tenancies”, “View maintenance” or “View the calendar”, as needed.
Calendar items
Section titled “Calendar items”I want a repeating item, or one for several people
Section titled “I want a repeating item, or one for several people”Why it happens: calendar items can’t repeat, and each can only be assigned to one person.
How to fix it: add an item for each date. For something everyone should see, leave it unassigned: it shows for anyone using Mine & Unassigned.
My colleague wasn’t told about the item I assigned to them
Section titled “My colleague wasn’t told about the item I assigned to them”Why it happens: calendar items don’t send notifications or invites.
How to fix it: tell them, or share a calendar link that includes Calendar items.
I can’t change the item’s property
Section titled “I can’t change the item’s property”Why it happens: the property, room and tenancy are set when the item is added.
How to fix it: delete the item and add a new one.
There’s no Create item button, Edit or Delete
Section titled “There’s no Create item button, Edit or Delete”Why it happens: Create item needs “Change calendar items” or “Complete and assign actions”. Edit needs “Change calendar items”. Delete needs “Delete calendar items”.
How to fix it: ask an admin to update your permissions.
Calendar links
Section titled “Calendar links”New or changed events take a long time to reach Google Calendar or Outlook
Section titled “New or changed events take a long time to reach Google Calendar or Outlook”Why it happens: your calendar app decides how often to check the link, not COHO. Some apps check only every few hours.
How to fix it: wait for the app’s next refresh. For anything urgent, check the Calendar in COHO, which updates within minutes.
Some events are missing from my calendar link
Section titled “Some events are missing from my calendar link”Why it happens: the link only includes:
- the event types ticked when it was created;
- events assigned to the people chosen (unassigned ones are left out if you picked people);
- events from a week before the start of this month to about 4 months ahead;
- types the link’s creator still has permission to view.
Scheduled maintenance that has been marked completed drops out of the link.
How to fix it: check the Events and Assigned to columns in Calendar settings. You can’t change a link after it’s made, so create a new one with the right options.
My calendar link has stopped working
Section titled “My calendar link has stopped working”Why it happens: the link was revoked, or the person who created it has been removed from your organisation.
How to fix it: if it’s your link, click Restore in Calendar settings. Otherwise create a new link and add it to your calendar app.
I can’t see a colleague’s calendar link
Section titled “I can’t see a colleague’s calendar link”Why it happens: Calendar settings only lists links you created.
How to fix it: ask the colleague to revoke it, or create your own.
“This link has been deprecated, please create a new link.”
Section titled ““This link has been deprecated, please create a new link.””Why it happens: the link was made with an older type of calendar link that’s no longer supported.
How to fix it: create a new link, add it to your calendar app, and Delete the old one.
Changes I make in Outlook or Google Calendar don’t show in COHO
Section titled “Changes I make in Outlook or Google Calendar don’t show in COHO”Why it happens: calendar links are one-way, from COHO to your calendar app.
How to fix it: make changes in COHO, on the Action, viewing, tenancy, maintenance issue or calendar item.
