Audit log: troubleshooting

Fixes for common Audit Log problems. For how the Audit Log works, see Audit log; for step-by-step instructions, see Audit log: how-to.

The Audit Log only shows notes, not activity

Section titled “The Audit Log only shows notes, not activity”

Why it happens: the Category filter opens on Manual notes only.

How to fix it: change Category to All, or to the area you’re interested in, such as Onboarding.

Why it happens:

  1. A filter is hiding it: Category, Team member or Date range.
  2. It’s older than the entries loaded so far. The list loads 15 at a time.
  3. You’re looking at the wrong level or tab. A room’s Tenancy tab shows only the current tenancy.
  4. Your role can’t view that area, so its category is hidden.
  5. The change isn’t one COHO records, such as deleting a calendar item, a supplier, or an income or expense item in Finances, or viewing a record.

How to fix it: set Category to All, Team member to All organisation users and Date range to All time, then click Load more. Try the organisation Audit Log (Menu > Other > Audit Log). If a category is missing, ask an admin for Read permission for that area.

Why it happens: COHO made the change itself, not a team member. For example a scheduled update, a payment or certificate arriving from a connected service, or a bank match.

How to fix it: nothing to fix. Open the record to see what changed. If you think the change was wrong, contact support with the entry’s date and record.

An entry doesn’t show the tenant’s name

Section titled “An entry doesn’t show the tenant’s name”

Why it happens: your role doesn’t have view permission for Tenants. The entry shows the tenancy icon without names instead of the person icon.

How to fix it: ask an admin in your organisation to give your role Read permission for Tenants.

Filtering by a team member hides some entries

Section titled “Filtering by a team member hides some entries”

Why it happens: the Team member filter shows entries that person created or last updated. Automatic changes have no team member, so they’re hidden.

How to fix it: set Team member back to All organisation users to see everything.

I can see a previous tenant’s notes in an empty or re-let room

Section titled “I can see a previous tenant’s notes in an empty or re-let room”

Why it happens: the room’s Room tab shows everything recorded in the room, including notes from earlier tenancies. The notes aren’t on the new tenancy, and tenants never see them.

How to fix it: use the Tenancy tab to see only the current tenancy. Add notes about a tenant on the Tenancy tab or their own tab, not the Room tab.

Why it happens: many entries say what happened but not the details before the change. For example “Tenancy terminated” doesn’t show the end date.

How to fix it: click the icon on the entry to open the record and see its current details. To keep a record of the old value, add a note when you make the change.

Why it happens: your role can’t read Notes, History or any area that has a category.

How to fix it: ask an admin in your organisation to give your role Read permission for Notes, or for the areas you need.

Why it happens:

  1. Your role can read notes but not change them. The Start typing… box, Edit and Remove are then hidden.
  2. The entry is activity COHO recorded, not a note. These can’t be edited or removed.

How to fix it: ask an admin for Write permission for Notes (or for the area the note belongs to, such as Maintenance). To add context to an activity entry, add a note.

Why it happens: removing a note deletes it from the Audit Log, and no entry is left.

How to fix it: COHO can’t restore it from the Audit Log. Add the note again. In future, edit a note instead of removing it.

Why it happens: notes are listed by the date and time given to them. If the clock icon was used to set an earlier date, the note appears further down.

How to fix it: click Edit on the note and correct the date and time.

Why it happens: the Audit Log has no export and no search box.

How to fix it: use the Category, Team member and Date range filters, click Load more to load the entries, then use your browser’s Find (Ctrl+F, or Cmd+F on a Mac). For a list of records, such as onboardings, use the export on that area’s panel where there is one (for example Export (CSV) on the Onboarding panel).
